Installation

Is CiteSmart working with XP or Vista? What about Mac?
CiteSmart is working with both XP and Vista. No version is currently available for Mac. [Top]

What version of word and Internet Explorer are supported?
CiteSmart works with Internet Explorer 6 and 7, and is compatible with Word XP, 2003 and 2007. [Top]

I have troubles installing the CiteSmart toolbar for word.
This is an issue related to Microsoft Word. The user guide provides guidance on how to do this. Make sure to set up the security level of Word in order to be able to execute Macros that are digitally signed (not by a third party). [Top]

Is my computer powerful enough for CiteSmart?
CiteSmart doesn't need a lot of memory and it is likely that recent computers will be powerfull enough. However and knowing that CiteSmart is used with Internet Explorer and Microsoft Word, enough memory will be needed for all these programs to run simultaneously. Under vista (and it is not related to CiteSmart), 1GB or RAM is necessary to work with ease. With XP 512 MB recommended. [Top]

What happens to the data I provide during registration?
The data is send to MireSoft and stored in its database. The information is for internal use only. It is also used to track CiteSmart installations. [Top]

Is CiteSmart compatible with 64 bits machines?
At this point CiteSmart hasn't been compiled/tested on 64 bits computers. It has been reported to us that it did: "CS will work just fine on x64 Windows system and in particular on Vista. Of course the installation package must be started by right click and 'Run as Administrator'. This eliminates odd problems and limitations later on." Bogdan M. CS user [Top]

Browser Integration

I can't see the CiteClick and RefClick button in the Medline Page.
First, make sure that CiteSmart is connected to IE. The best way to do this is to close all IE windows, and then Click on the IE icon on CiteSmart toolbar. This will start IE and direct the browser to Medline. From there search using any terms. The button should appear in the result page. if not, then check your emails for critical updates that may have been sent to you. Usually an update will be available within 1 business day or less to solve the problem. [Top]

I didn't understand what CiteClick is and how different it is from RefClick.
With CiteClick you can insert a reference directly from IE window. In a pubmed result page, CiteSmart will add buttons next to each reference. The CiteClick button will insert the reference directly into the active word document (depending on the style in use). It will also download and save this reference to the current library. The RefClick button will only download and save the reference to the library. This is useful when you see a reference you may want to use later, while doing your routine bibliographic work. [Top]

What about dragging references from IE?
The RefDrag Option allows to drag a reference (from a PubMed result page) into CiteSmart. The link to the reference must be dragged to the Library Panel. This will download and save the reference to the current library. Note that a link can be dragged from any web browser, as long as it points to a Medline reference (it must contain http://....pmid=xxxx). [Top]

I am refreshing the IE connection, nothing happens.
The refresh IE connection should be used to start IE (when IE is not running, strongly recommended) or ONLY when the 2 following conditions are met:
  • CS is running (obvious)
  • When searching PubMed in IE directly, in the results, the two buttons CiteClick and RefClick do not appear.
Then you need to Refrech IE connection, and go to IE to reload the webpage. Now the buttons should appear. Note that if you refresh the IE connection multiple times, this will create a multiplication of action (multiple buttons will appear). You need to close all IE windows and relaunch it from CiteSmart. Will CiteClick and RefClick work with FireFox ?
FireFox has become a very popular web browser. We have been actively working on the question and have developed a FireFox extension for CiteSmart. The CiteSmart extension for FireFox will be available in the future (likely CS2.x), to allow users to enjoy CiteClick and RefClick with FireFox (and likely in other browsers like Flock which uses the Mozilla Gecko rendering engine). This is also part of a longer objective to implement a CiteSmart version for Mac OS. [Top]

Features

What library size can be handled by CiteSmart?
In a single library, CiteSmart can store multiple copies of the entire PubMed database. When working with libraries, it may be appropriate to either 1- create one library per manuscript or 2- organize libraries using labels. And remember that CiteSmart will store your references in your library when you CiteClick or RefClick. In fact, PubMed becomes your library (no need to bother pilling up references in a local library). [Top]

Can I add more than one label to a reference?
Yes. Unlike with folders that are mutually exclusive, many labels can be added to a reference. [Top]

What if I think there is a bug in CiteSmart?
Please email MireSoft at support@miresoft.net with the word Bug in the tiltle of your message. Please don't forget to mention the actions taken when the bug appeared, so that we can reproduce it. We will try to solve it and provide updates to users. [Top]

CiteSmart doesn't seem to support footnotes.
Not yet. But it will. [Top]

Is it possible to suggest features I would like to see added in CiteSmart?

Is CiteSmart compatible with EndNote and Reference Manager Libraries?
Yes it is. You can import/export libraries from/to these programs. You can even import references from a PubMed result file. More details here. [Top]

How does the rebuild library from word function work?
This function is limited to references that were orginally grabbed from Medline. If a word document contains references inserted with EndNote, Reference Manager or CiteSmart, then this function will rebuild a new library containing these references. CiteSmart will download each reference it finds and store it in the current library. [Top]

Does CiteSmart comply with NIH requirements for grant submission?
The NIH public access policy requires that scientists include the PubMed Central number (PMCID) into grants and reports submitted to the NIH. CiteSmart (starting version 1.3.0) complies with this requirement (see PMC requirements). We have even included a NIH style. Note: make sure to be online when creating the bibliographic index or formatting your document. The resolution of PMC numbers for each reference happens in real time. [Top]

Word

When I manually change the text of a reference in word, CiteSmart modifies the text back. How can I edit the references?
It is not possible to edit references in word directly. If this is done, then CiteSmart will revert the changes. In order to edit citations, you must do so from CiteSmart menu Word>Edit Citations. See important considerations. [Top]

Is there really no way to edit citations in Word?
Directly, no. But you can edit the field codes for the references by pressing ALT+F9. To edit the citation, modifiy the value between the two tags "UserEdit". The citation text will change after it is updated by CiteSmart (menu Word> Update Citations). [Top]

I have troubles when searching Medline from my word document using the Word Toolbar.
In some particular cases (depending on your computer, settings etc...), it is possible that Internet Explorer may not respond well to the Word Toolbar. This issue is known and currently not resolved. The best advice in this situation, is to search Medline from IE itself. The CiteClick and RefClick buttons will appear in the result page, allowing to cite (and store) in one click. [Top]

Why does word window get minimized when I pre-format or finalize?
It will go faster. Besides, CiteSmart modifies the active document. When you have more than 1 document open, if you accidently activate another document than the one you work with, then it will mess things up. It is faster and safer to minimize all windows and let CiteSmart do its job for a couple of minutes at max. [Top]

What is the difference between pre-formatting and finalizing?
There are two major differences. First finalizing will create a copy of your document. Second and unlike with pre-formatting, finalizing will add an extra step that is not reversible (that's why it is done on a copy). This step concerns duplicate resolution with a harvard style. If you have two citations that appear to be the same but refer to two different studies (i.e Jones et al, 2004 and Jones et al, 2004) then CiteSmart will resolve the duplication and add lower case letters next to the date (Jones et al, 2004a ; Jones et al, 2004b). Corresponding changes will be made in the bibliographic index. Duplicate resolution is not customizable at this time. [Top]

Does it mean that I don't need to finalize if I use a numbered style?
Correct. You don't need to finalize if you use a numbered style or if you are sure that you don't have any duplicate case (similar citations that refer to different studies, Jones et al, 2004 and Jones et al, 2004). In that case pre-formatting is equivalent to finalizing. [Top]

When I insert a reference in word, CiteSmart inserts the reference multiple times, why?
The multiplication is due to the fact that you have refreshed the connection with word when this was not needed. Each time you click on refresh, you don't really refresh a connection but you actually add a connection with word. So if you press multiple times (when not needed), you end up with the same action repeated. Remember refreshing the connection with word is not necessary. This is to be used ONLY when the two following conditions are met:
  • You use the CS toolbar for word
  • The toolbar (inside word) doesn't respond. Then you refresh the connection.

How do I remove field codes in word?
Fiield codes are hidden data used by CiteSmart. Certain Journals require that field codes be removed from word documents before submission. To remove field codes follow these steps:
  • 1- Once you are done, finalize your document. This will create a copy of your document.
  • 2- On the document copy, press ctrl+a. This will select the entire content of the document.
  • 3- Press ctrl+shift+F9. This will remove the field codes.
Note that your document can't be used by CiteSmart once the field codes have been removed. [Top]

Styles

Is it possible to create any style?
Almost. CiteSmart will comply with over 99% of style requirements. [Top]

How do I know if the Style I need already exists?
CiteSmart provides a function to search styles. Go to menu ToolBox>Journal Styles>Find Style... Then enter 2 or 3 letters contained in the journal you are interested in. You can narrow down the search to number or harvard styles. Note that each time you create a new style, CiteSmart automatically adds the folder location to its search path. So all the styles that are provided with CiteSmart and the ones you create will be searched. [Top]

The style I need is very close to another style, can I modify a style?
Yes you can. To create a new style from an existing one, go to menu ToolBox>Journal Styles>Modify Style> With the Wizard. At the end, CiteSmart will ask you a new name for this style. [Top]

Some pre-defined styles don't match the instructions to authors provided by the Journal.
This may happen, when requirements change. Most of the styles coming with CiteSmart are derived from the Vancouver style. In that case, you can edit and modify the style to comply with the instructions. [Top]

I need a style but I don't have time to create it, can MireSoft do it for me?
Yes we can. Please email us at support@miresoft.net. In the title of the message include 'Style Request'. if you have purchased CiteSmart, include your serial key (in order to have priority). Also make sure to include instructions to authors. Whenever resources permit, MireSoft will create the style and send it to you. [Top]

After I pre-format my references, if I insert a style, the pre-formatting disappears, why?
CiteSmart updates the reference to make sure they are in accordance with the style in use. Besides, whenever using a numbered style, citations have to be renumbered to take into account the new insertions. [Top]

I have a style I would like to share. Can I send it?
Absolutely. Make sure to put your name in the style information page. We will be happy to make your style freely available to the community. Before doing so, we will check your style and verify that it complies with the Journal requirements. [Top]

Some Journals require that journal names in the bibliographic index is the full name. Does CiteSmart handle this?
Yes. When downloading a reference in Medline, the journal name is the Med Abbreviation of the full journal name. For example Journal of Biological Chemistry is abbreviate J Biol Chem. Some journals require that the journal name appears in full in the bibliographic index. CiteSmart is able to resolve journals names from over 19,000 abbreviated journal names in Medline. The option is customizable through the style bibliographic index. More details about journal names here. [Top]

Purchase

I am not sure if I want to purchase CiteSmart, I would like to use it first and see.
CiteSmart is free to use during the trial period and is fully functional. You will have time to check it, try it, love it or hate it and ultimately make the decision that is right for you. [Top]

Should I wait till the next version is available? What if I buy CiteSmart today and the next version is out in 2 weeks from now?
Well, if you keep waiting, you may never be able to use it longer than the trial period. If a new version is out 30 days after the date of purchase, the new version is yours for free. Past 30 days, you will be able to upgrade with a 50% discount on the normal price. This discount will be available between two consecutive versions of CiteSmart i.e 1.x.x and 2.x.x. If you have bought 1.x.x and want to upgrade to 3.x.x, you will have to buy CiteSmart (again). [Top]

When I check for updates, it also presents me upgrade options. What is the difference?
The menu command Help>Check for Updates and Upgrades will inform about Updates that are modifications of the CiteSmart version you currently have and Upgrades that allow you to take advantage of a 50% discount when a new version of CiteSmart is available. Updates are usually minor modifications, bugs solved etc.... Upgrades are usually major modifications, with new functionalities (often inspired by users' feedback). [Top]

How long will it take between two versions are out?
New versions may be released anytime. Realistically MireSoft will not release more than a new version per year and very likely one every 18 to 24 months. Note that this doesn't concern updates and patches that may be released often to solve various bugs that our users or we identify. Whenever a new update (usually free) or a new upgrade (new version) are available, CiteSmart will let you know when it starts (you can also use the command in the menu help> Updates and Upgrades). User Reported Problems & Tips

I can't see the CS main window, just the quick launch and the tab in the taskbar.
This issue remains unresolved however it is easy to fix. Start CS and then right click on the CS taskbar tab, then maximize the window. Close CS. Then reopen CS and resize the window (by dragging its right bottom corner). You are all set. Note that the QuickLaunch icon provides the option to restore CS window. This function can be used (you may need to call it twice). Note for laptop users: make sure that your desktop doesn't 'expand' to other monitors. [Top]

I am sure I haved added labels to my library, but they have disappeared.
Labels are user specific. Make sure that at the time you open the library, you specify the username under which the labels were created. This was done in an aim to allow multiple users to collaborate on a single library, and yet to allow each user to organize a same library with his own labels. Version 1.2.9 and up contains an option (in the library menu) to switch between users of a library or to add one. The labels will be displayed accordingly. [Top]

When I export references in the HTML format, I can't control the output
The output in HTML format can be controlled using the Preferences. We are currently designing a more flexible interface to create nice web page of formatted references. This interface will be part of CS2.0 and is called CiteScriber. [Top]

CiteSmart launches and crashes immediatly
This situation has occured. Usually a white window pops up and closes to fast to read anything. In such a case you need to run CiteSmart in the debug mode. This won't make CiteSmart work, but it will generate an error report that will be extremely useful to us. If you have a version later than 1.3.1, you can do that by going to Start> Programs>CiteSmart> and choosing CS in debug mode. This will generate and error.log file in the directory where CiteSmart is installed. Email us the file and explain to us what happened.
If you have a version prior to 1.3.1, then you must do it from the command line. Following the instructions (assuming that CiteSmart is installed in 'C:\Program Files', which is the default installation folder):
  • Windows XP: go to Start>Run... Then a box pops up. Enter 'cmd' (without the quotes). Then at the prompt enter the following command (WITH THE QUOTES): "C:\Program Files\CiteSmart\CiteSmart.exe -debug"
  • Windows Vista: go to Start Then enter 'cmd' (without the quotes) in the search box immediately above the start button. Then at the prompt enter the following command (WITH THE QUOTES): "C:\Program Files\CiteSmart\CiteSmart.exe -debug"
In both cases this will generate and error.log file in the directory where CiteSmart is installed. Email us the file and explain to us what happened. We will correct the issue and send back a corrected version to see if this solves the problem. [Top]

How can I track CiteSmart development progress ?
MireSoft is maintaining a Trac site where various information regarding bugs, milestones and the development time line of CiteSmart is available. It is also possible to read various (few) broad articles regarding CiteSmart main features, namely features that are not offered by other programs.
