1- Requirements.

  • Disk space: ~75 MB. CiteSmart in fact is a small program. However, since it is coded in python, the runtime environment must be installed as well.
  • RAM: ~128MB (512 MB for XP or 1GB for Vista are recommended since CiteSmart works with Word and a web browser)
  • Windows XP or Vista (32 or 64)
  • [Optional] Microsoft Word (Office 2000, XP, 2003, 2007)
  • [Optional] Internet Explorer 6, 7
  • [Optional] Mozilla FireFox 3+ and the corresponding CiteSmart extension.
  • [Optional] Flock 2+ and the corresponding CiteSmart extension. Flock is based on FireFox engine.

Microsoft Word, Internet Explorer or FireFox are not necessary for CiteSmart to work, to create, populate and manage libraries. However all the power of CiteSmart comes with the CiteClick and RefClick options for which Word and IE or FireFox are necessary.

2- Compatibility Issues.

Some issues are known :

  • Microsoft Word 2000. CiteSmart works with this version of word, but it is a bit slower. Thus it is recommended to use Word XP or 2003.
  • Microsoft Word, all versions: it is highly recommended to disable 'Track Changes' in Microsoft Word. This function is not active in Word by default,and is used to facilitate collaborative work. Track changes interferes with CiteSmart capabilities to create the bibliographic index properly. An option in CiteSmart, allows to automatically disable this function (and enable it back) when CiteSmart needs to access and modify the word document. By default, CiteSmart will temporarily inactivate track changes when it interacts with Word. You can, but shouldn't modify this behavior. Please note that track changes is not even compatible with Word it self, when it comes to using captions in pictures and cross-referencing them within a document (but this is another story...)
  • With IE7. These issues are probably related to settings associated with IE7 and/or add-ons loaded in IE7. They are not reproducible. When launching IE7 from CiteSmart using the refresh IE connection when no IE window is already opened, in certain cases IE7 hangs on and keep connecting. To avoid this issue, start IE7 separately, direct it to PubMed, then refresh IE connection. Everything else should work. If not see the bug section of this document.
  • Windows Vista. CiteSmart is running on Vista and no particular problem has been noted so far. Under Vista, it is recommended to use Word 2007.

3- Installing CiteSmart

Easy: Click on "Install CiteSmart". This launches a setup and click "Next" till the end.

4- Installing the CiteSmart Word Toolbar.

Note that the CiteSmart toolbar for Word will no longer be supported in future versions of CiteSmart. It will remain part of CiteSmart to allow backward compatibility for Word Xp and Word 2003 users as long as necessary, but it won't be improved or even updated. It has various weaknesses. If you use Office 2007 then you shouldn't use this toolbar and use the CiteSmart add-in for Word 2007 instead, which has many advantages over this toolbar. The CiteSmart Word 2007 add-in is not and will not be available for previous versions of Word.

  • Install CiteSmart
  • Go to windows Start menu>Programs>CiteSmart>Install Word Toolbar.
  • Before opening the document, Word should display a security warning box. First check the option "Always trust macros from this publisher", and then click "Enable Macros".
  • A similar warning should appear if you use Word 2007. To be able to run the macro you must go to the main menu (office flower) and click on Word Options>Trust Center>Trust Center Settings. The option "Enable all macros" must be checked. Note that the macro is digitally signed by MireSoft LLC.
  • Follow instructions in the word document. For Word 2007, the toolbar resides in the tab "Add-Ins"

Note about Security levels in Microsoft Word: the maximum security level that will allow the installation of the toolbar is 'High'. To check/set the security level, go to Word menu Tools>Macros>Security. When the security level is changed, close word and re-open the document. The Macros contained in the word document to install/remove the word toolbar have been signed by MireSoft LLC and can be trusted, provided that the CiteSmart setup was obtained from the CiteSmart website and not via a third-party. The setup is available on CiteSmart website. Please make sure that the one you ran comes from CiteSmart website. Finally, the word toolbar is not necessary to exploit CiteSmart features.

5- Uninstalling the CiteSmart Word Toolbar

  • It is easier to uninstall the toolbar while CiteSmart is installed.
    • Proceed like in step 4.
    • In the document click on "Delete CiteSmart Toolbar For Word"
  • If CiteSmart has been uninstalled proceed as follows (Word XP & 2003):
    • In Word go to menu Tools>Templates and Add-Ins. A dialog box opens.
    • At the bottom left corner, click "Organizer...". A new dialog box opens.
    • Click on the tab "Toolbars".
    • On the bottom right combo box "Toolbars available in:" (list with choices), select "Normal.dot".
    • In the list on the right, CiteSmart should appear. Select and press "Delete".

7- Uninstalling CiteSmart

  • Go to windows Start menu>Programs>CiteSmart>Uninstall CiteSmart
  • Choose Remove and press Next

8- Updates and Upgrades

To check for updates and upgrades, go to CiteSmart menu Help>Update & Upgrades. By default CiteSmart checks for newer versions at startup. It is strongly recommended to leave this feature activated. The startup check will warn you only if a free update exists. If an upgrade exists, the startup check will not warn you (in order not to bug the you). The update dialog box allows to activate/deactivate the startup check (again it is strongly recommended to leave the startup check activated as it is by default).

  • Updates will be provided for the current release of CiteSmart (patches, minor modifications and improvments...)
  • Upgrades will be available for purchase when a new release is out (major modifications, new functions...)

9- Bugs and Support

Bugs submission is encouraged and welcome. Whenever a bug is discoverd, please let MireSoft know. Go to CiteSmart menu Help>Bugs & Support and follow the instructions. Make sure to give us your feedback with a short description of the actions that were taken leading to the bug (Thank you!). Also note that most bugs shouldn't make CiteSmart crash, so you can repeat an action with abnormal result to isolate the problem and provide a precise description to MireSoft. It is crucial for MireSoft developers to be able to reproduce the problem. Patches will be available for download and available on CiteSmart website.

Support is also available, via email (support@miresoft.net) or via phone for customers who have purchased a license. However, we ask our customers to contact us via email and wait two business days before calling. MireSoft has a 1 day reply policy and we will usually reply by email or by phone within 1 business day.

10- Request a bibliographic style

Part the bibliographic work is to choose a style with a paticular format. When the style you look for doens't exist, you can create a style quite easily. We understand that your time is precious and you may not have the time or the desire to do so. For this reason, MireSoft will create customized styles for you (as courtesy and as resources permit). Go to the menu Help>Request a Style (or enter Ctrl+Y).
