Label Tree: Organize Your Libraries

CiteSmart uses a labeling system to efficiently organize libraries. Labels are intended to be user-specific (i.e different users will see different labels on a same library). The Labeling Tree is on the left of the CiteSmart window. Several categories are already present:

  • My References: Contains the references that are stored in the library.
  • Labels: Create new labels and add them to your references. Note that labels are user specific. CS 1.3+ contains utilities to transfer labels between users
  • Online: Stores references selected from PubMed search results. Items with this label are temporary and must be dragged to the “My References” category before they can be inserted into a document.
  • Import: Stores references imported from a file. Items with this label are temporary and must be dragged to the “My References” category before they can be inserted into a document.
  • Cited: Shows references from the library that cited in the open Word document(s). This category is purely informative.
  • Marked: Allows to temporarily mark and retrieve references of interest. This category is reset each time CiteSmart starts

Since CS 1.3+, the number of references in each category appears next to each label. The category Marked has been introduced in CS 2.0

Note: Only references in the “My References” category can be inserted into a Word document. References in the “Cited” and “Labels” categories are also in the “My References” category.

Labels are like traditional folders but only better: you can add more than one label to a single reference. Thus by adding multiple labels to your references, you can create a more consistent organization and no longer have to choose between two relevant folders that are mutually exclusive. To add a label to a reference, it must be in “My References”.

  1. Select one or more references.
  2. Right click and select new label (or go to the CiteSmart Library menu and click “Create Label”).
  3. A label named “New Label” will be created in the Label Tree. Rename it.

That’s it! The reference will be present under the newly created label. If you want to add the newly created label to other references, right click on the reference(s) of interest and the available labels will be displayed in the menu. You can also directly drag the reference(s) to the label(s) in the Tree. Labels are removed the same way. Right clicking on a reference will also show the labels that maybe removed in the “Remove Label” submenu. Since CiteSmart 2.0, it is also possible to temporarily marke a reference and find it in the under the Marked category. The option to Mark/Unmark a reference is available after a right click on a reference.

Note: Removing a label does NOT delete the reference. It only removes the label. Labels are user specific. If you open your library with different username, then only the labels created unser this username will be displayed.
