Menu
- New
Library: Create a new library of references. Enter a new
user name and a new library name. If a library with the same name exists,
it will be opened and not replaced. All library files have the
‘.lcs’ extension. The user name is not a functional
requirement but its use is encouraged, especially since CiteSmart will
evolve and the possibility to share databases between users will be
added.
- Open >>
Open a library: Open an existing library. Enter a user name
and library name to open the library.
- Email
Library: Select an existing library and email it using your
default mail client. Note that this functionality has been tested with
the following email clients: Outlook Express / 97 / 2000, Eudora,
Incredimail, Mozilla Thunderbird (1.5.0.2), and Novell Groupwise. If this
feature does not respond, library files may still be attached to
emails.
- Export and
Email: Export the entire library or select references into
one of four formats: Medline, Refer, RIS, or HTML. The codec with
automatically change to match the format chosen. Enter the name of the
exported library. The default email client will open to send the library
file.

- Import
Library: Import an existing library from one of seven
formats: Medline, XML From EndNote, Refer, Refer_EndNote, RIS, BibTex, or
ISI. The codec with automatically change to match the format chosen.
Enter the name of the library to import or enter library text in the box
provided. Some data might be lost in this process. Learn more about importing a CiteSmart Library (i.e.
from EndNote).
- Print: Print a
citation(s). If one or more citations are selected only those will be
printed. Otherwise the entire library will be printed.
- Page
Setup: Setup the page format.
- Print
Preview: Preview your citation(s) to be printed. If one or
more citations are selected only those will be printed. Otherwise the
entire library will be printed.
- Exit: Quit
CiteSmart.
Edit
Menu
- Copy: Copy a
reference.
- Cut: Cut a
reference.
- Paste: Paste a
reference.
- Select
All: Select all references.
- Preferences: In-depth
options to customize CiteSmart. They are detailed below. The following elements are
customizable:
- Table Panel:
Adjust the appearance of the references table. Choose which fields
to display and their arrangement. The colors of field names and
contents are also customizable.
- Preview
Panel: Adjust the appearance of reference previews. Choose
which items (Citations / Bibliographic Entry) to display. Choose
which fields to display and their arrangement. The colors of field
names and contents are also customizable.
- Printing:
Adjust printing format. Choose which items (Citations /
Bibliographic Entry) to display. Choose which fields to print and
their arrangement.
- Style Folders
: These folders will be searched by CiteSmart to retrieve
styles. Note that each time you create a new style, CiteSmart
automatically adds (if needed) the folder in which the newly
created style is saved.
- Layout
Options: Adjust appearance of the main window. Choose which
items (Preview Panel / Toolbar) to display. Choose which toolbar
items to display and their arrangement.
- Working Space: The Working Space function will split the screen in two with MS Word on one half and IE on the other half. This allows to define if MS goes on the left (default), right, top or bottom of the screen.
- MS Word: Activate/Deactivate automatic handling of the track changes feature of word when CiteSmart interacts with word. It is recommended to let CiteSmart deal with this feature (leave the checkbox checked). This is important in order to avoid some incompatibilities between this feature and CiteSmart. - PDFs
: Options to ignore, link or download PDFs when they are freely available for PubMed references. More here...
Library Menu
- Create a
Label: Create a new label. The CiteSmart Labeling Tree
System will provide a simple yet powerful way to organize libraries. Learn more about the Labeling Tree
System.
- Add a New
Reference: Manually add a new reference.
- Insure the correct
reference type is selected (‘ARTICLE’ is the
default).
- Insure the author name
is properly formatted: Brown, John Ray or John Ray Brown are both
acceptable. First and middle names may be abbreviated with
initials.
- Names of different
authors must be separated with ‘;’ or by pressing
ENTER.
- Pop-out balloon tips are
available to assist with name formatting.

No identifier is needed.
CiteSmart will automatically add one.

- Edit Selected
Reference: Manually edit an existing reference.
- Quick Search: Find a
reference within the library.

- Delete
Reference: Delete a reference from the library. CiteSmart
will ask for confirmation. If you want to bypass this warning, use the key combination Shift+Del.
- Change Fields
Order: Opens CiteSmart Preferences to change the appearance
of the references table.
- Change Library User:
Re-open the current library with another user name. A dialog box opens to show existing users and their labels.
- Merge...:
Allows merging operation ('Brut' OR 'Label Exchange'). See Merging Operations with CiteSmart.
- Link Reference
to a File: Associate a local file or website URL with a
selected reference. This file (or web page) can be viewed later on with
the “View Linked File” option from the Library menu. Note
that references also contain a ‘URL’ field. For Medline
references, this URL field contains the Medline URL where the reference
abstract can be read. The URL field can be viewed with the “View
URL” option from the Library menu.
- View Linked
File: View the associated local file.
- View
URL: View the associated website URL. For Medline
references, the URL points to the Medline abstract.
- View Medline
Related Articles: View Medline curated “Related
Articles” for a selected reference.
Toolbox
- Journal Styles
Submenu - CiteSmart comes with a powerful style interface
to select, modify, and create styles. Learn how to
work with styles.
- Choose: Opens a
submenu browser window to choose a CiteSmart style.
- New Style:
Opens a submenu to create a new style file. Both Numbered and Harvard
style formats are available.
- Modify Style:
Opens a submenu to modify the currently loaded style.

- Find Reference
Submenu - Functions to search references in the library or
Medline.
- Other
Items
- Refresh Connection
with IE: Connects CiteSmart to the active Internet Explorer (IE)
browser and insures the availability of the CiteClick and RefClick
options.
- Refresh Connection
with FireFox: similar to "Refresh Connection with IE" for Mozilla FireFox.
- Refresh Connection
with Word Toolbar: Connects CiteSmart to the active Microsoft
Word document. Specifically, it connects CiteSmart to the CiteSmart
Word Toolbar. This will allow users to search Medline and add
citations directly from Word.
- Start Working
Space: Splits the screen in two with Microsoft Word on one half
and Internet Explorer on the other half, according the preferences.
This configuration allows to be able to "cite on the fly" using the
CiteClick feature.
MSWord
- Insert
Citation: Will insert the selected citation(s) in the
active Word document.
- Update
Citations: Will update the citation in the active Word
document using the current style. To be used when the current style is
changed.
- Edit Citations
: This will open a dialog box with a list of citations in
the current document. It will allow you to edit one or more citations.
Make sure to read these important
considerations regarding citation editing.
- Update
Bibliographic Index: This will create/update the
bibliographic index with the references cited in the active Word
document. The style of the bibliographic index is defined in the current style. Note: if the number of references is
less than the number of cited references, use 'Repair Citations' before
updating the bibliographic index.
- Update and
Pre-format all : Combines the two previous function. This
will give a preview of the final format of the citations and
bibliographic index.
- Finalize: Will create a
copy (on the fly) of the document named cs_copy_[document name] and
finalize the citations and bibliographic index. This function is very
close to the previous one, but here some steps cannot be undone, mainly
when using a harvard style, the resolution of duplicates is definitive
and must be the very last step. For instance when two different articles
would be cited as Jones et al, 2005, after finalization the
results would be Jones et al, 2005a and Jones et al,
2005b (with corresponding changes in the index).
- Repair
Citations: At times, it is possible that some information
hidden in the document and used by CiteSmart may be altered or affected
(various users/various Word versions etc...) This may result in an
incomplete index, with less references than the number of references
cited in the document. In that case, this function should resolve the
problem and should be called before updating the index, ore
pre-formatting/finalizing the document. This function should be hardly
needed.
