CiteSmart Toolbar for Microsoft Word

Note: this add-in will work with Word XP, 2003 and 2007. However it won't be supported in future versions of CS (MireSoft will maitain it for compatibility issues as long as necessary). If you use Word 2007, we strongly recommend users NOT TO USE the toolbar and use the CiteSmart Add-in for Word 2007 instead.

Overview

Shown below is the CiteSmart Toolbar for Microsoft Word. The following table details its functions.

Icon

Description

Insert the reference(s) currently selected in CiteSmart into the active Word document. The insertion takes place at the current insertion point.

Refresh the Bibliographic Index. An index is created if it does not already exist. The index is inserted after a page break.

Creates a preview of the final format of the citations: citations will be grouped, sorted, fused and ranged (if numbered) according to the style in use.

Use the highlighted text as input for a PubMed search. An Internet Explorer (IE) window opens with the results from PubMed. The CiteClick and RefClick features will become available.

Opens a new IE browser window to PubMed. The CiteClick and RefClick features will be available.

Installation

  • Install CiteSmart
  • Go to windows Start menu>Programs>CiteSmart>Install Word Toolbar.
  • Before opening the document, Word should display a security warning box. First check the option "Always trust macros from this publisher", and then click "Enable Macros".

  • A similar warning should appear if you use Word 2007. To be able to run the macro you must go to the main menu (office flower) and click on Word Options>Trust Center>Trust Center Settings. The option "Enable all macros" must be checked. Note that the macro is digitally signed by MireSoft LLC.

  • Follow instructions in the word document. For Word 2007, the toolbar resides in the tab "Add-Ins"

Note about Security levels in Microsoft Word: the maximum security level that will allow the installation of the toolbar is 'High'. To check/set the security level, go to Word menu Tools>Macros>Security. When the security level is changed, close word and re-open the document. The Macros contained in the word document to install/remove the word toolbar have been signed by MireSoft LLC and can be trusted, provided that the CiteSmart setup was obtained from the CiteSmart website and not via a third-party. The setup is available on CiteSmart website. Please make sure that the one you ran comes from CiteSmart website. Finally, the word toolbar is not necessary to exploit CiteSmart features.

Uninstallation

  • It is easier to uninstall the toolbar while CiteSmart is installed.
    • Proceed like in step 4.
    • In the document click on "Delete CiteSmart Toolbar For Word"
  • If CiteSmart has been uninstalled proceed as follows (Word XP & 2003):
    • In Word go to menu Tools>Templates and Add-Ins. A dialog box opens.
    • At the bottom left corner, click "Organizer...". A new dialog box opens.
    • Click on the tab "Toolbars".
    • On the bottom right combo box "Toolbars available in:" (list with choices), select "Normal.dot".
    • In the list on the right, CiteSmart should appear. Select and press "Delete".r. Select and press "Delete".

Using the Word Toolbar to cite PubMed references

Combined with the CiteClick and RefClick technologies, the Word Toolbar provides an unprecedented amount of convenience when citing references from PubMed. It is strongly recommended that new users watch the Tutorial Videos. Here is a brief description of the process:

1- Start Microsoft Word

2- Start CiteSmart

3- Assume the desired reference is in PubMed but not necessarily in the library. Type the PubMed search terms directly in Word.

4- Highlight the search terms and click in the toolbar. An IE window will open with the PubMed search results along with the CiteClick and RefClick buttons. When viewing the abstract of a particular article, these buttons should still be available. Refer to the CiteClick and RefClick help page if they are not.

5- Cite the desired paper(s) by clicking on the CiteClick button.

6- The reference is automatically inserted into the document and replaces the search terms with the citation format corresponding to the current bibliographic style.

7- To create or update a Bibliographic Index, click in the toolbar.

Important Usage Tips

1- If CiteSmart is not open, the toolbar is inactive.

2- Upon startup, CiteSmart will automatically connect to the active Word application. In case you have started several word application (Start>Program Files>Word), you would have to refresh the word connection for each application. Generally if you want to open more than one document, it is better to use the word file menu (File>Open or File>new, in which case the CiteSmart Toolbar for Word will be active for all documents) rather to start another instance of Microsoft Word using the Start Menu.

3- To enable an inactive Word toolbar, Click the icon on the CiteSmart main window toolbar or from the Toolbox menu, chose “Refresh Word Connection”. This will enable the toolbar in the active document only.

4- Once a toolbar is active for a word instance, it remains active as long as CiteSmart is not closed.

5- To check the status of a Word toolbar click on . If an IE window opens, then the toolbar is active.

6- It is highly recommended that CiteSmart be used with only one open Word document at a time. However, multiple document usage is supported as noted above.
